Reservation instructions

  1. Select the arrival and departure date, number of guests, room type and price.

  2. Please select any additional services, such as breakfast, unless these services are already included in the price mentioned in point 1.

  3. Check your reservation details, total amount and detailed conditions (room, price and/or additional services). Then enter your guest details.

  4. Please read the general terms and conditions of sale, terms of use and privacy policy carefully and then confirm your reservation.

  5. Motel Roko confirms the acceptance of the reservation by immediately sending an e-mail summarizing: the type of reservation made, additional services booked, reservation dates, price, total amount and details of its components, terms of sale related to the selected price (accepted by the customer), information regarding customer service and hostel address to which the client can submit any complaints.

 

It is also possible to contact the selected motel directly by phone to book a room or send an inquiry to the hotel's e-mail address. More information about the motel can be found on its website.

 

Room reservation

Your reservation will be fully guaranteed upon payment of your stay, either by credit/debit card at the hotel, or when you provide your credit/debit card details to secure payment (unless your card details prove invalid). Providing your credit/debit card details to secure payment for your booking does not mean that you will be charged for the nights booked, but does authorize the hostel to charge you for the first night's no-show if the booking has not been canceled in advance (in the event of a no-show). in the case of a reservation with free cancellation). For all guaranteed bookings, an email with your booking number will be sent to the email address you provide.

 

Special offers

Special offers, available only on the official website www.motel-roko.com.pl, cannot be combined with other discounts and cannot be canceled, refunded or changed (this applies to both rooms and any additional services). As these are non-refundable bookings, 100% of the total booking amount will be charged at the time of booking unless otherwise expressly stated in the offer terms and conditions and this amount is non-refundable (this applies to both rooms and any additional services). In the event of a customer's no-show on the scheduled arrival date, even if the motel has been notified in advance, the reservation will be canceled in its entirety and the hostel reserves the right to charge the customer the total amount of the reservation to cover cancellation costs and any losses incurred.

Pricing and invoicing

Prices are displayed before and during the room booking process. They concern a single room, a specific number of people, the type of room and the indicated date. Prices confirmed to the customer include all taxes (except tourist tax) and are valid only for the time period indicated on the website. Unless otherwise indicated, prices do not include any additional services (breakfast, parking, pets, etc.).

Prices are given in Polish zlotys (PLN) and include VAT in the amount applicable on the day of making the reservation. Any changes in the VAT rate will be automatically taken into account and added to the price indicated on the invoice for the stay (arrival date). Any changes or introduction of new laws or regulations by the relevant authorities will be automatically taken into account and added to the price indicated on the invoice for the stay (arrival date). Upon arrival at the hostel, you can request an invoice detailing all costs of your stay.

Cancellation or change of reservation

Returnable reservations are subject to free cancellation until 2:00 p.m. at least 5 days before arrival. To cancel a reservation, you must clearly inform the motel of your intention to cancel by contacting the motel directly by phone and/or email. Confirmation of the cancellation of the reservation is provided to the customer immediately. In the event of a later cancellation, the motel will charge the first night's amount to the credit/debit card provided as security to cover the cancellation costs. The remaining nights will be canceled. Non-refundable reservations cannot be changed or canceled and the amount paid is non-refundable (this applies to both rooms and any additional services).

 

Extension of stay

Please contact the motel reception before 9:00 to inquire about room availability. If rooms are available, you must immediately pay the appropriate fee to extend your stay.

 

Shortening your stay

In the case of refundable reservations, the motel must be informed of the shortening of the stay by 9:00 a.m. 5 days in advance. The refund will be made for the proportional part of the canceled stay (using the same method used to make the payment). In the case of non-refundable bookings, such as special offers, which are by definition non-refundable, the customer will not be entitled to any refund.

 

No-show of a guest (“No-show”)

For non-refundable bookings, 100% of the total booking amount will be charged at the time of booking unless otherwise expressly stated in the offer terms and conditions and the booking amount is non-refundable under any circumstances (this applies to both rooms and any additional services) . In the event of a customer's no-show on the scheduled arrival date, even if the motel has been notified in advance, the reservation will be canceled in full and the motel reserves the right to charge the customer the total amount of the reservation to cover cancellation costs and any losses incurred.

 

Kids

Throughout their stay in the hostel, children under 13 must be under constant care and supervision of adults. Baby cots are available upon request, subject to confirmation from the motel. A maximum of 3 people can be accommodated in a double room. One baby cot can be accommodated in the room. One child under 12 years of age, sleeping with parents in the room, stays in the motel free of charge.

 

Animals

This service is subject to an additional fee. The owner of the animal is directly liable for any damage or inconvenience caused by the animal to the detriment of the hotel, third parties, employees or other guests of the motel. The client may be charged for any damage caused by the animal during the stay.

Dispute resolution 

The court competent to hear actions by Motel Roko against Customers-consumers and actions by Customers-consumers against Motel Roko is the court having jurisdiction over a given claim under the general principles of the Polish Code of Civil Procedure.

 

Stay at our motel

Unless expressly stated otherwise, use of the booked room is from 2:00 p.m. on the first day of the reservation until 10:00 a.m. on the last day of the reservation. Only the person indicated in the registration card has the right to use the room. The client agrees and undertakes to use the room in a reasonable manner and in accordance with its intended purpose. In case of any behavior of the client contrary to moral standards and public order, the hostel management will be forced to ask him to leave the premises without any compensation or refund (if payment has already been made). Motel Roko provides free Wi-Fi access. Customers undertake not to use IT resources to reproduce, present, deliver or make publicly available any property protected by copyright or similar rights without the consent of the owners or in violation of their rights.

 

Overbooking and force majeure

The motel reserves the right to transfer all or part of the guests to a motel of a comparable category, depending on the availability of rooms, only in the event of unavailability of the booked rooms ("overbooking") for reasons attributable to the motel. Any additional costs (accommodation and/or transportation) will be borne by the motel originally booked by the customer.

 

Motel Roko is not liable for any breach of its obligations resulting from force majeure. Force majeure events are those that are usually recognized as such in the case law of Polish courts. In such a case, the hostel reserves the right to transfer all or part of the guests to a motel of a comparable category, depending on room availability.

 

Privacy and personal data

The customer's use of the Motel Roko website, in particular when making a reservation, involves the processing of personal data by Motel Roko.

Based on Article. 13 Regulation of the European Parliament and of the Council (EU) 2016/679 of 27/04/2016. on the protection of personal data of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter: GDPR), we would like to inform you that the administrator of your personal data is ROKO RiR Kowalscy Sp.j. based in Dobra 72-003 ul. Szczecińska 1i, NIP 8510307598, REGON 005459571, KRS0000128634.

The Administrator has not appointed a Personal Data Protection Inspector.

Your personal data will be processed by the Data Administrator solely for the purpose of providing the services ordered by you / proper performance of the contract between you and the Administrator, pursuant to Art. 6 section 1 letter b/GDPR, for a period of 5 years from the completion of the above-mentioned contract. In addition, the recipient of your data may be a competent public authority, pursuant to generally applicable provisions.

Enabling ROKO to process personal data is voluntary, but is necessary to conclude and perform the contract, including managing your reservations and stays, and to fulfill legal obligations arising from the provision and settlement of services. Your personal data will also be processed on the basis of the legitimate legal interest of the Data Administrator. Your personal data will be processed for the period of using the services of ROKO RiR Kowalscy Sp.j. and further, resulting from legal provisions regarding the provision and settlement of services provided. You have the right to access the processed personal data, including the right to rectify, delete, limit processing, raise objections and transfer data, as well as the right to lodge a complaint with the supervisory authority. To exercise these rights, please contact us atmotel@roko.com.pl. You are also entitled to object at any time to the disclosure of data by ROKO RiR Kowalscy Sp.j.

 

Applicable law

These General Terms and Conditions of Sale are subject to Polish law in relation to hotels located in Poland.

 

Changes to the General Terms and Conditions of Sale

Motel Roko reserves the right to partially or completely change these General Terms and Conditions of Sale, without prior notice.
